Connecting Sage X3 to Power BI: how to automate your income statement and improve performance.

The observation: a manual P&L

In many SMEs, the Profit and loss statement remains a crucial management tool, but... still built by hand.

Each month, the finance team extracts a General Ledger from Sage X3 In .xls or.csv format, reclassify the accounts in a readable format, update the calculations and send the result to financial managers.

It takes time, relives on human manipulation, and does not allow for a continuous vision of the company performance.

As the company evolves, costs are even more scrutinized and management challenges intensify, this operation demonstrates its limits.

Our mission: to create an automated and dynamic P&L based on Sage X3

We recently supported a client — an industrial SME — in the complete overhaul of its financial reporting.

His need? A P&L updated automatically, accessible in a few clicks, without having to manipulate Excel every month.

We started from their General Ledger exported from Sage X3, a raw format containing all accounting entries, with accounts, amounts, cost centers and analytical types.

The key steps:

  1. Direct connection to the Sage X3 database
  2. Construction of a dynamic mapping between accounts and income statement lines (turnover, gross margin, OPEX, EBITDA...)
  3. Creating a Power BI report, structured by month, by cost center, with N/N-1 comparison and YTD cumulative vision
  4. Add interactive filters, dynamic charts and specific views for management control
  5. Automated update : a simple click is enough to refresh the P&L with the most recent data

Concrete benefits for the customer

Thanks to this Power BI solution connected to Sage X3, the customer now benefits from:

  • Significant monthly time savings
  • A better reading of Financial indicators
  • An instant view of profitability, month after month
  • A shared tool between management, operational staff and finance
  • An evolving base : you can integrate budgets, forecasts or operational KPIs

Why Power BI is a strategic lever for SMEs

Power BI is not just for large groups. On the contrary, for an SME, it is a Financial Maturity Accelerator.
It makes it possible to structure data, to automate key reports, and above all... to make better decisions.

The implementation cost is often a few days for a first operational version, and the benefits are immediate.

And you?

Do you use Sage X3 or other accounting software ? Do you rebuild your P&L manually every month with some errors ? Do you feel like you're always chasing your numbers ?

Maybe it's time to consider an automated, robust, and visual solution.

At Apage, we help Finance departments to make Power BI a real management tool, not just a reporting tool.
